NOW HIRING - CLIENT SERVICES SPECIALIST

POSITION DESCRIPTION: The Client Service Specialist will provide front-of-house service at Gem City Vet, a low-cost clinic operated by Gem City Kitties. As a 501(c)3 nonprofit, we offer affordable veterinary care for pets in low-income families. 

The Client Service Specialist will handle client check-in and check-out at the front desk. We are looking for someone who is passionate about animal welfare, highly organized, and able to interact compassionately with all clients. 

SCHEDULE & COMPENSATION: $40,000 annual salary. Sunday: 1:30pm - 6:30pm. Monday - Wednesday: 8am - 6pm, with a 30-minute lunch break. One Thursday afternoon per month is required. The ability to cover Thursday morning shifts during PTO for Thursday staff members is a bonus, but not required. At this time, we are not able to cover health insurance, unfortunately. As a 501(c)3 nonprofit, employment qualifies under current federal student loan forgiveness programs. (Please confirm all details with your specific situation and current program guidelines).

Staff members receive low-cost veterinary care for their own pets on all items offered at Gem City Vet.

Full-time start date is August 3, 2026, although training may take earlier as schedules allow.

RESPONSIBILITIES:

  • Greet clients upon arrival and create an inclusive and welcoming space

  • Answer telephone calls during open clinic hours and answer questions

  • Collect payments and ensure all payments are completed

  • Provide empathetic service and diffuse situations if clients are upset

  • Maintain client records and ensure appointments are properly entered into booking software

  • Answer basic questions upon check-in and share information with clients about veterinary care best practices

  • Clean all areas of the clinic open to the public and ensure the spaces are tidy, sanitized, and organized

  • Coordinate with the Program Director to ensure all necessary supplies are maintained for smooth operations

  • Implement and follow procedures set by the Board of Directors

  • Assist with donation pick up and drop-offs from time to time from the Gem City Catfe location

REQUIREMENTS:

  • High School Diploma or GED Required

  • 5+ years required in customer service

  • Must have deep concern and empathy for animals

  • Must be able to pass a background check

  • Requires interactions with animals owned by the public

  • Bending, reaching, squatting, kneeling, lifting 20 lb items, and use of stairs required while performing job function 

  • Exposure to cleaning agents, allergens, and zoonotic disease 

  • Ability to learn new computer programs quickly

  • Proficiency in G-Suite – specifically Gmail, Google Drive, Google Docs, and Google Sheets

Will be required to communicate effectively with the public, other staff, and vendors. Must be able to work with various personalities, ethnicities, social and age groups, and maintain tact and professionalism at all times

  • Ability to handle confidential and sensitive information
